Yhdistyksen säännöissä lukee jäsenen eroamisesta: "Varsinaisen jäsenen katsotaan eronneen yhdistyksestä jos hän on jättänyt edellisen toimikauden jäsenmaksunsa maksamatta kuluvan toimikauden vuosikokoukseen mennessä. "
Tätä ei ole kuitenkaan seurattu pariin vuoteen, mutta asia on tullut toiminnantarkastuksessa ilmi, ja sääntöä aletaan noudattamaan.
Kun ei ole enää yhdistyksen jäsen, henkilötietojen säilyttämiseen ei ole enää GDPR:än mukaista perustetta. Tämän jälkeen ei ole asianmukaista tai tietoturvallista sallia enää pääsyä yhdistyksen tietojärjestelmiin, tai säilyttää niissä entisen jäsenen henkilökohtaista dataa.
Tietosuojavaltuutetun toimisto henkilötietojen käsittelystä yhdistystoiminnassa [1]:
"Miten pitkään yhdistyksen jäsentiedot on säilytettävä?"
"Tiedot on hävitettävä, kun käsittelyn perustetta ei enää ole eivätkä tiedot ole
toiminnan kannalta enää tarpeellisia. Jäsenen erotessa tiedot on pääsäännön
mukaan hävitettävä sen jälkeen, kun jäsenyysasioiden hoito ei enää edellytä tietojen
säilyttämistä."
Tämän vuoden lokakuussa järjestettävän vaalikokouksen jälkeen ne jäsenet, jotka eivät ole maksaneet vuoden 2026 tai vuoden 2025 jäsenmaksua, tai eivät ole ainaisjäseniä, on katsottu eronneeksi yhdistyksestä, ja heidän henkilökohtainen datansa tullaan poistamaan kerhon tietojärjestelmistä (shelli-palvelimien kotihakemistot, sähköposti yms.). Tämä tullaan tekemään porrastetusti, jossa ensin pääsy tietojärjestelmiin loppuu, ja henkilökohtainen data poistetaan tietyn asianmukaisen ajan jälkeen.
Tänä vuonna poikkeuksena sallitaan, että vuoden 2026 jäsenyyden maksaminen (https://holvi.com/shop/modeemi/product/4225737db8a036a586727e46f3841b17/) lokakuun vaalikokoukseen mennessä riittää jäsenyyden säilymiseksi, vaikka ei ole maksanut 2025 tai sitä aikasempien vuosien jäsenmaksua. Seuraavina vuosina asiasta seurataan yhdistyksen sääntöjä.

The association’s rules state the following regarding a member’s resignation: “A regular member is considered to have resigned from the association if they have failed to pay their membership dues for the previous term by the time of the annual meeting of the current term.”
However, this rule has not been enforced for a couple of years, but the issue has come to light during an operational audit, and the rule will now be enforced.
Once a person is no longer a member of the association, there is no longer a legal basis under the GDPR for retaining their personal data. After this, it is no longer appropriate or secure to allow access to the association’s information systems or to retain a former member’s personal data within them.

"How long must an association retain member data?"
"The data must be destroyed when there is no longer a legal basis for processing and the data is no longer
necessary for the association’s operations. When a member resigns, the data must, as a general rule,
be destroyed once the management of membership matters no longer requires the data
to be retained."
Following the election general meeting to be held this October, those members who have not paid their 2026 or 2025 membership fees, or who are not lifetime members, will be considered to have resigned from the association, and their personal data will be deleted from the association’s information systems (home directories on shell servers, email, etc.). This will be done in stages, with access to the information systems being terminated first, and personal data being deleted after a certain period of time.
As an exception this year, payment of the 2026 membership fee (https://holvi.com/shop/modeemi/product/4225737db8a036a586727e46f3841b17/) by the October election general meeting will be sufficient to maintain membership, even if you have not paid the membership fee for 2025 or earlier years. In subsequent years, the association’s rules will be followed regarding this matter.
